THE POSITION
The company is seeking a highly organized and bilingual Executive Assistant to support the CEO and members of the executive leadership team. This role will serve as a trusted partner to the CEO, ensuring efficient management of his schedule, travel logistics, communications, and administrative priorities.
The Executive Assistant will primarily support the CEO, while also assisting the Chief Revenue Officer (CRO) and President on select administrative and operational matters. This position requires a structured professional who can bring organization, efficiency, and discretion to a fast-paced executive environment.
Key Responsibilities
- Manage and optimize the CEO’s calendar, prioritizing meetings and ensuring efficient time management.
- Coordinate meetings, appointments, and internal/external communications.
- Prepare meeting agendas, take notes, and track follow-up action items.
- Assist in preparing reports, presentations, and executive materials.
- Coordinate executive travel arrangements, including flights, hotels, transportation, and logistics.
- Manage travel expenses and expense reporting.
- Coordinate logistics with drivers, security personnel, and external service providers.
- Provide occasional logistical support for travel or meetings in the United States.
- Support administrative coordination such as payments, transfers, and communication with treasury, accounting, and administration teams.
- Maintain organized records and documentation.
- Utilize technology and AI tools to improve productivity, including meeting transcription and summaries.
- Handle highly confidential business and personal information with discretion and professionalism.

Required Qualifications
- Fully bilingual in English and Spanish.
- Proven experience supporting senior executives in an Executive Assistant or similar role.
- Exceptional organizational and time management skills.
- Strong written communication skills for executive correspondence and meeting summaries.
- High level of professional discretion and trustworthiness.
Preferred Qualifications
- Strong technology aptitude and familiarity with AI productivity tools.
- Experience coordinating executive travel logistics and expense reporting.
- Ability to anticipate needs and proactively solve problems.
- Advanced proficiency in Microsoft Office and presentation tools.
